WorkPower Oy’s job applicant data file
The data file contains information that WorkPower Oy needs to recruit jobseekers and to create and maintain employment relationships. Jobseekers can apply for a specific job or submit an open application. The collection and storage of personal data is based on the jobseeker’s consent. The application data provided by the jobseeker will be stored and used in the job applicant data file. At the jobseeker’s request, their data will be deleted immediately, or they can delete the data themselves using their personal credentials.
Name, address, postal code, town, telephone, e-mail, date of birth, type of job applied for, education, work experience, qualifications, CV, application attachments, the applicant’s personal presentation, and comments by the applicant and the processor. Some of this information is required, and some is optional.
The information stored in the data file is collected from the jobseeker with their consent. The information collected from the jobseeker consists of the application submitted by the jobseeker, the jobseeker’s employment, education and other certificates, and any information provided by the jobseeker during interviews.
The personal data of data subjects will not be disclosed to third parties without their consent. With the consent of the data subject, certain personal data necessary for the performance of the employment contract to which the data subject is a party may be disclosed to WorkPower Oy’s client company.
The personal data stored in the data file is collected in Likeit Solution Oy’s database. The personal data servers are physically located in controlled data centres in Finland. The connection to the service is encrypted using the HTTPS protocol. Backups are stored on servers in controlled premises. Backups are retained for up to one year.
If necessary, the data kept in the data file can be accessed by the Likeit support team and programmers who need the data for technical support and troubleshooting purposes. All persons who have access to Likeit’s data have signed a confidentiality agreement, which has been extended to cover not only confidential data but also personal data.
Information about the activities that users perform within the system is stored in the system logs. The most important of these are logins and logouts, and the change log, which contains all of the changes that have been made, the exact date and time of the change, and the name of the user who made it.
The data file can be accessed with personal access rights granted by WorkPower Oy, which are set at different levels depending on the employee’s duties. The right of access expires when a user changes positions or duties for which they have been granted access.
WorkPower Oy requires service providers involved in the maintenance of the system to ensure a proper level of data protection and to undertake not to use the information contained in the data file.
In accordance with Section 26 of the Personal Data Act, the data subject has the right to inspect the information concerning them contained in the data file. Once logged in, you can view, modify and delete the information you have provided in your application. If you wish to see all the data collected about you, the request for inspection must be made in person at WorkPower Oy’s office. You have the right to request the rectification or deletion of inaccurate data concerning you.
Right to object: You have the right to object to the processing of your personal data at any time if you believe that we have processed your personal data unlawfully or that we have no right to process certain personal data. If you object to the processing of your data, we will suspend the processing of your personal data (except for storage) until we have clarified the lawfulness of the processing.
Right to lodge a complaint: You have the right to lodge a complaint with the Data Protection Ombudsman if you believe that your personal data has been processed in violation of applicable data protection laws.
